1.  Overview

To access the News module, navigate to Menu > News in the Admin Dashboard. This module allows you to manage all news articles published within the app, categorized by labels. The module also provides options to archive, delete, and bulk manage articles. Labels in the News module help to categorize articles and provide easy filtering and organization.

When you navigate to Menu > News in the Admin Dashboard, you will see the News page. This page contains a list of all the News articles in on the platform, including active, inactive, and archived entries. You can perform several actions here, such as adding new News articles, editing existing ones, archiving, and filtering your view for better organization.

 

Top Bar

At the top of the News page, you will find several tools and options:

  • Search Bar: You can search by News title, label, or target group. This helps you quickly locate specific articles in your list.
  • Clear Filters: This option resets any filters you have applied to the list, showing all articles again. Filters can be aplied to article title, labels and Status columns.
  • Archive: Switches your view to show archived news articles. You can manage and restore articles from the archive here.
  • Labels: Opens the view of your Labels where you can add or edit them
  • +Add: Click this button to add a new article by opening the Add News form.

 

Table Columns

Below the top bar, you’ll see the list of news articles displayed in a table format. Each article is listed with the following information:

  • Selection Box: The first column contains checkboxes. You can select one or multiple News articles to apply bulk actions such as submitting to the app, archiving, or deleting them using the top bar Tools menu.

  • Date: The date when the article was added.
  • Title: The title of the article entry.
  • Label: The label assigned to the News article.
  • Target Groups: Shows which member and internal groups this article targets.
  • App Status: The current status of the article in the app (e.g., Active, Inactive, or Update Pending).
  • Action: Provides options to Edit, Set Active/Inactive, EditArchive, or Delete the article.

 

Preview Pane

When you click on a News article entry, a preview pane opens on the right side, showing more details about the selected article. In the preview pane, you can see the article's content, target groups, and documents attached. The Actions menu at the top of the preview pane lets you edit, archive, or delete the article directly from this view.

 

3. Adding a New News article

To add a new News article entry to your platform, follow the steps below:

1. Navigate to the Add News article Form:

  • On the News page, click the blue +Add button located in the top-right corner of the page. This will take you to the Add News form.

2.  Details Section:

  • Date: Set the date for the News article. 
  • Label: Set a label for the article. (See Managing Labels.)
  • Target Groups: Choose the member groups and internal groups that will have access to the article.

3.  Content Section:

  • Title: Enter a title for the News article.
  • Issue highlights: Add highlights of the article separated by comma
  • Image: Upload an image that will appear at the top of the News detail view and as a thumbnail in the News list and activity feed.
  • Documents: Attach any relevant documents. If not present in the Document library then a new one can be added.  (Article on Add a New Document within content)
  • Content Text and Media: In this field, add the article content. You can include text, images, audio, and video files. The Rich Text Editor (RTE) provides tools to format the content. Learn how to use the RTE.

4.  Submit Actions Section:

  • Send Notification: If enabled, a notification will be sent to the members when the article is submitted to the app. You can also schedule the notification for a later date/time, set the notification type (e.g., with or without sound), and compose the notification message.
  • Hide from Activity Feed: Choose whether the article should be visible in the activity feed or not. Show in Activity feed is normal and recommended.

5.  Saving and Submitting the article:

  • After filling in all the fields, click Save at the top right to save your work. You will be back into News list view.  The article will be saved but not yet visible in the app.
  • To make the article live in app, click Submit in the action menu in News list view or use the Submit to App button on the top bar when multiple entries are selected.

 

 

4.  Managing News Labels

Labels in the News module serve as categories that help organize the news content. By assigning labels, you can easily categorize news articles and ensure they are grouped logically. These labels are visible in the app, allowing members to filter and find specific news articles based on their interests.

1.  View Labels

  • Navigate to Menu > News > Labels in Top Bar to view a list of current Labels.
  • Each Label is displayed with its Name and News Issued.

2.  Add a News Label

  • Select +Add to create a new label.
  • Provide a Label Name.
  • Save the label to apply the changes.

 

3.  Editing a News Label

  • To modify a Label, click the pencil icon next to it.
  • Update the Name  and save changes.

 

4.  Deleting a News Label

  • Locate the label you wish to delete and click on the Delete icon next to it.
  • It is not possible to delete a label that has articles assigned to it. To delete a label, ensure that all articles under it are reassigned to another label or removed first.

 

How Labels Help Categorize Content

Labels allow for logical organization and filtering of news content. Members using the app can view and filter news articles by these labels, making it easier to find content related to specific topics.

 

 

5.  Managing News (Editing, Deleting, Archiving)

This section explains how to manage existing News articles by editing, deleting, or archiving them within the Admin Dashboard.

 

Editing a News article

  1. To edit an article, navigate to Menu > News.
  2. Locate the article you wish to edit from the list or use the search bar to find it by Title, Label, or Target Group.
  3. Click on the three-dot menu in the Action column next to the article and select Edit. (If preview pane open, click the pencil icon to edit)
  4. The news article editor will open, allowing you to modify the content, Title, Label, Target Groups, and more.
  5. Once you have made the necessary changes, click Save.
  6. Note: After saving, the News article status will automatically change to Update Pending, meaning the changes will not be visible in the app until the article is Submitted to App using the action menu or bulk submit.

Deleting a News article

  1. To delete an article, navigate to Menu > News.
  2. Locate the article you want to remove.
  3. Click the three-dot menu in the Action column next to the article and select Delete.
  4. Confirm your action when prompted.
  5. Note: Deleted News articles are permanently removed from the system and cannot be recovered.

 

Archiving a News article

  1. To archive an article, navigate to Menu > News.
  2. Locate the article.
  3. Click the three-dot menu in the Action column next to the article and select Archive.
  4. The article will be moved to the Archived section of the module.
  5. You can view and manage archived articles by selecting the Archived view from the Top Bar.
  6. To unarchive an article, go to the Archived section, click on the three-dot menu next to the article and select Unarchive.

6.  Bulk Actions on News

You can perform various actions on multiple News articles simultaneously, such as adding or removing target groups, setting labels, archiving, deleting, or submitting to the app. This is useful when managing a large number of articles at once.

 

Selecting multiple News articles

  1. Navigate to the News module.
  2. Use the checkboxes in the left column next to each article to select the ones you want to act on.

Once articles are selected, the Tools menu and the Submit to App button will become visible in the top bar.

The Tools menu offers the following options:

  • Add/Remove Labels: Use this to assign or remove target groups for multiple articles. A pop-up will appear, allowing you to select the action (Add/Remove) and choose the desired target groups.
  • Set Label: This lets you assign a label to an article. Use this option to categorize multiple articles at once.
  • Archive: Move the selected articles to the archive. This will hide them from the News list but keep them accessible in the archived section.
  • Delete: Permanently remove the selected articles from the system.

 

Submit to App

After selecting one or more articles, Submit to App button appears to make the article(s) visible in the app. This is required for any article with an Update Pending status after editing or with Inactive satus.

 

 

FAQs

 

Q: Can I edit a News article after submitting it to the app?

A: Yes, you can edit an article after it has been submitted, but once edited, the article status will change to Update Pending. You need to submit it to the app again for the changes to take effect.

 

Q: How do I delete a label?

A: Labels can only be deleted if they are empty. If an article is assigned a label, you must either delete or reassign the article before deleting the label.

 

Q: What happens if I archive an article?

A: When an article is archived, it is removed from the main list but still accessible in the Archived section. You can restore it later by unarchiving the article.

 

Q: Can I submit multiple articles to the app at once?

A: Yes, you can select multiple articles using the checkboxes and submit them simultaneously using the Submit to App button in the top bar.

 

Q: How do notifications work for new articles?

A: When creating a new News article entry, you can choose to send a notification to users. You can either send it immediately once the article is submitted to the app or schedule it to appear for a later date and time.

 

Q: Can I delete an article that has been archived?

A: Yes, articles in the archived section can be deleted using the Delete option from the three-dot Action menu. Note: Deleting an article is permanent and cannot be undone, so be sure before proceeding.
