Overview

When you enter the Survey Module, you’ll see a table view displaying all surveys. This view provides essential details at a glance and allows you to manage surveys efficiently.

Table View

The table includes the following columns:

  • Creation Date: The date and time the survey was created.
  • Survey Title: The name of the survey.
  • Expiry Date and Time: The date and time when the survey will no longer be accessible.
  • Qualified Participants: The number of members eligible to take the survey based on the target groups.
  • Participated Users: The number and percentage of members who have participated.
  • Target Groups: The groups assigned to the survey.
  • App Status: Indicates whether the survey is live, live pending (future active date), inactive, or draft.

 

Actions Menu

  1. Bulk Actions: Select multiple surveys using the checkboxes and access the Tools menu for actions like:

    • Export to Excel or CSV
    • Add/Remove Target Groups
    • Set Active Status

  2. Individual Actions: Each survey has a three-dot menu (Action Menu) with options to:

    • Edit
    • Duplicate - Copy the Survey to create a new one
    • Delete
    • View Responses
    • Delete Responses - Deletes the responses and resets the Survey
    • Set Active or Inactive (Visible or not in app)

The table view serves as the starting point for creating, editing, or analyzing surveys.

1.  Adding a New Survey


Note:
Instead of adding a Survey and all deatils from a scratch, a previous Survey can be duplicated and its data and questions be modified before setting live.

Details section

  1. Navigate to the Survey Module and click + Add in the top bar.

  2. Fill out the Details section:

    • Survey Name: Enter a descriptive title for your survey.

    • Description: Provide a brief description visible to participants.

    • Hero Image: Upload an optional header image visible in Survey list view and Activity feed (JPG or PNG format).

    • Set Live Date: Optionally schedule a future date for the survey to go live. If not selected, the survey will go live once set as active.

    • Expiry Date and Time: Define when the survey will close to participation.

    • Target Groups: Choose the member groups eligible to participate in the survey.

    • Optional filters:

      • Base: Restrict the survey to members at specific bases.

      • Equipment: Target members based on equipment type.

      • Position/Rank: Limit participation to certain positions or ranks.

Note: Surveys cannot be saved until at least one question has been added.

 

2.  Adding and Configuring Questions

Add Questions section

Once the survey details are done, you can add questions:

  1. Start typing the first question directly in the Add Questions section or click View Archive to select previously saved questions.

  2. Configure the question:

    • Question: Enter the text of the question.

    • Answer Type: Select one of the following types most suitable for the response you're after:

      • Text - Single Line: A short text input field.

      • Text - Multiple Lines: A longer text input field.

      • Range: A slider or numeric range selection.

      • Single Choice List: Allows selecting one option from a list.

      • Multi Choice List: Allows selecting multiple options from a list.

      • Rating: A scale for rating (e.g., 2 stars, 4 stars).

      • Ranking: Allows ranking options in order of preference, drag n drop.

    • Further Details (FD): Enable this if you need to add further information for the question and even include an image.

    • Answer Required: Mark the question as mandatory.

    • Add to Archive: Add the question to the archive for future use.

  3. Click Add Question to add it to the survey.

  4. Questions appear in a list below, where you can reorder or edit them by clicking the pencil icon.

Note: Questions cannot be edited once the survey is live but can be modified before activation.

Remember to save the progress. Possible when you have added at least one question.

 

3.  Configuring Survey Settings

Submit Actions section

Set up how the survey behaves after submission:

  1. Send Notification: Specify if participants should receive a notification upon survey availability.
  2. Show Results: Choose whether participants can view aggregated results in app after the survey expires.
  3. Hide from Activity Feed: Hide the survey from the app’s activity feed if necessary.
  4. Allow Subgroups to view and Participate: If the member has the target group for the Survey as a sub group, enabling allows the member to participate. 

 

Lastly, review you settings.

Live and Expiration Settings

  • Set Live Date: Schedule when the survey becomes active. If not set, it will become visible once its set active
  • Expiry Date and Time: Define when participation closes.

 

Visibility and Targeting

Ensure only the intended members see the survey by:

  • Assigning Target Groups.
  • Applying additional target filters such as Base, Equipment, or Position/Rank.
  • Set if members with the target group(s) assigned as a sub group should be allowed to participate.

 

4.  Editing Existing Surveys

  1. From the Survey Module table, locate the survey you wish to edit.
  2. Click the Action Menu (three dots) next to the survey and select Edit or in Preview pane, click the pencil icon.
  3. Modify details, questions, or settings as needed.
  4. Save changes to update the survey.

Note: Changes to live surveys may impact ongoing participation. You can Add and Delete a question from a live survey but it is NOT possible to modify a question once live.

 

 

FAQ

Q: Can I duplicate and re-use a previous survey?

A: Yes, use the Duplicate option in the action menu to copy an existing survey and modify it as needed.

Q: Can I edit questions in a live survey?

A: No, questions cannot be edited once a survey is live. Ensure all questions are correct before activation. You can however add or delete questions.

Q: Can I add or delete questions in a live survey?

A: Yes you can. Modifying a question in a live survey is however not possible. 

Q: What happens if no live date is set?

A: The survey will go live as soon as it is set to active.

Q: What does “Show Results” do?

A: It allows participants to see aggregated survey results after the survey expires.

Q: What does “Allow subgroups to view and participate?" mean?

A: It allows those who have the target group assigned as sub-group to participate.

Q: Can I reset survey responses?

A: Yes, use the Delete Responses option in the action menu to reset the survey, removing all collected data.
