Overview

To access the Events module, navigate to Menu > Events in the Admin Dashboard. When you enter the module, you will be presented with a page listing all current and archived events, as well as options to manage them.

 

Top Bar:

  • Search Events: Use the search bar to locate specific events by typing the event’s name, location  or target group.
  • Clear Filters: Reset any active filters and display the full list of events.
  • Archive: View a list of archived events.
  • Add: Click the + Add button to create a new event.

 

Table Columns:

  • Date & Time: The date and time the Event is scheduled to occur.
  • Subject: The title or subject of the event.
  • Location: The location where the event will take place.
  • Attendance: Displays the number of members who have confirmed their attendance (if attendance feature was enabled for that Event)
  • Event Type: Specifies whether the event is a Non-Recurring or Recurring event.
  • Target Groups: The groups within the organization that the event is targeted towards, such as Board, Staff, or custom groups.
  • App Status: Indicates whether the event is Active (visible in the app), Inactive (hidden in the app), or Update Pending (changes have been made but not yet submitted).
  • Actions: Allows you to manage events by setting them as Active (visible in app), inactive (not visible in app), viewing attendance and exporting, editing event details, archiving, or deleting the event.

     

This page serves as your central hub for managing all events. You can sort the columns by clicking the column headers, and use the filters to refine the list of events based on their attributes such as date, status, or group.

 

When you click on an event in the list, it opens a preview pane where you can quickly view event details and access the same Actions menu as in the event list. If the event has attendance tracking enabled, the View Attendance option will also appear as a dedicated button for easy access.

 

By selecting one or more events using the checkboxes on the left, you can access the Tools menu for bulk actions like Add/Remove Target Groups, Archive, or Delete. The Submit to App button appears when changes are made to an event and need to be published.

1. Adding a New Event

  1. Click Add in the top right corner of the screen.

2. In the Details section:

  • Date: Set the date of the event.
  • Whole Day Events: If the event lasts all day, toggle this option. If this option is not selected, you will need to enter a Start Time and End Time for the event.
  • Events Type: Choose between Non-Recurring or Recurring.
    • A Non-Recurring event takes place once and has a single date.
    • A Recurring event repeats over a set period (daily, weekly, etc.), and you can define its recurrence pattern.
  • Location: Enter the location of the event.
  • Select Target Groups: Choose the member or internal groups for which this event is intended.

 

3. In the Content section:

  • Subject: Enter the event’s subject or title.
  • Image: Upload an image that will appear at the top of the Event detail view, in the Event list, and in the Activity Feed.
  • Documents: Attach any relevant documents. If not present in the Document library then a new one can be added.  (Article on Add a New Document within content)

4. In the Submit Actions section:

  • Allow User Participation Opt-In: Choose Yes or No to enable or disable user participation. If enabled, members can opt-in to participate in the event. (Going - Not Going - Maybe)
  • Record Attendance List: Select Yes to record names of members attending.  Allow User Participation Opt-In needs to be enabled.
  • Send Notification: If Yes, a notification will be sent to members’ devices once the event is submitted to the app.  (Article on Sending Notificatin with Content)
  • Hide from Activity Feed: Toggle Yes or No to show or hide the event in the activity feed. 
  • Event appears at top of the Timeline: Set how many days before the event it will appear at the top of the timeline. 
  • Event removed from top of the Timeline: Set how many days after the event it will be removed from the top of the timeline. 

 

After filling in all fields, click Save. It will then appear in the Events list. To publish it in the app, select Submit from the action menu (3 dots). It will show status "Active".

 

 

2. Managing Events (Editing, Deleting, Archiving)

 

Editing an Event

  • In the Events list, locate the event you want to edit and click on the Actions menu (three dots) to the right or use the pencil icon in the preview pane if it’s open.
  • Select Edit from the dropdown menu.
  • Make the necessary changes in the Event.
  • Once edits are complete, click Save to apply the changes.

Note: If any updates are made, the event status will change to Update Pending until it’s resubmitted to the app.

 

Deleting an Event

  • In the Events list, locate the event you wish to delete.
  • Click the Actions menu next to the event or, if the preview pane is open, access the Delete option from the Tools menu.
  • Select Delete from the dropdown.
  • Confirm the deletion when prompted.

You can also delete multiple events by selecting them using the checkboxes and choosing Delete from the Tools menu.

Important: Once deleted, the event cannot be recovered.

 

Archiving an Event

Archiving an event removes it from the active list but keeps it accessible in the archive for record-keeping purposes. Event becomes inactive and not visible in app once archived.

  • In the Events list, click on the Actions menu next to the event or, if the preview pane is open, use the Tools menu at the top to select Archive.
  • Choose Archive from the dropdown.
  • To view archived events, click the Archive button at the top bar.

You can also archive multiple events by selecting them using the checkboxes and choosing Archive from the Tools menu.

 

Un-Archiving an Event

  • Navigate to the Archive tab in the Top bar.
  • In the Events list, click on the Actions menu next to the event or, if the preview pane is open, use the Tools menu at the top to select Unarchive.
  • Choose Unarchive from the dropdown..

You can also unarchive multiple events by selecting them using the checkboxes and choosing unarchive from the Tools menu.

This will move the event back to the active events list. It will need to be set active to be visible in app again.

 

Bulk Actions on Events

Bulk actions in the Events module allow you to perform the same action on multiple events at once, saving time and effort. Here’s how to manage bulk actions efficiently.

 

 

3. Performing Bulk Actions

 

1. Select Events:

  • In the Events list, use the checkboxes on the left side of each event to select one or more events.

2. Choose an Action:

  • After selecting the events, click on the Tools button located at the top right.
  • From the dropdown menu, you can perform several bulk actions:
    • Add/Remove Target Groups: Assign or remove target groups to/from the selected events.
    • Archive: Move the selected events to the Archived list.
    • Delete: Permanently delete the selected events.

3.  Submit to App:

  • Once you’ve made changes to an event or created a new one, click on Submit to App to push the updates live to the app. This is required for any changes to be reflected in the app.

 

 

4.  Viewing Attendance

Tracking event attendance is essential to understanding participation and engagement. This section explains how to view and export attendance records for your events.

1.  Open the Event:

  • In the Events list, find the event for which you want to view the attendance.
  • Click on the event to open the Preview Pane, where key event details are displayed.
  • In the Actions Menu, click on View Attendance if the event’s participation has been recorded.

2.  Attendance Records Display:

  • The attendance list for the event will open, showing all members who have opted in, depending on the event settings.
  • You can see the full list of attendees and their participation details, such as names, usernames, group and attendance status if Record attendance list was enabled

3.  Exporting Attendance Records

  • In the attendance view, you will have the option to Export Attendance in an Excel (XLS) format.
  • Click the Export button to download the attendance record in XLS format for further analysis or record-keeping.

 

5. FAQ's

 

Q: How can I delete an event?
A: You can delete an event by clicking the Delete option in the Actions menu or by selecting multiple events and using the Tools menu.

 

Q: What does it mean when an event is marked as Update Pending?
A: This status indicates that changes were made to the event, but they have not been submitted to the app. You need to click Submit to App for the changes to take effect.

 

Q: Can I archive multiple events at once?
A: Yes, you can select multiple events using the checkboxes and then choose Archive from the Tools menu.

 

Q: How do I export attendance records?
A: To export attendance, click on the event, open View Attendance, and select the Export button to download the attendance list in XLS format.

 

Q: Can archived events be unarchived?
A: Yes, you can unarchive events by going to the Archived Events list, clicking the Actions menu, and selecting Unarchive.

 

Q: How do notifications for events work?
A: When you enable Send Notification while creating or editing an event, a push notification will be sent to the members’ devices as soon as the event is submitted to the app.

 

Q: Can notifications be scheduled for a later date?
A: Yes, notifications can be scheduled for a specific date and time.
